This article will explain how to archive imported bills if I don't want to use them, or I can import my bills and then go into the Accounting Transaction and edit to Bill Pay to record the Bill.
There are a few scenarios to consider with importing Bills that you have already entered manually. These could be Paid already, or still sitting in the Unpaid Bills section.
1. How to replace the manual bill payment with the imported bill?
2. How to delete the manual bill without payment, leaving you will the imported bill?
It is important to review all imported data against the bill provided by your billing company for accuracy before saving and importing any bills from the Import Queue.
What do I do if I have already paid a bill that I have manually entered, but I want to replace it with the Bill that imported?
1. Navigate to the import queue and find the desired Bill and click the corresponding arrow on the right hand side.
2. Edit the Bill Information as needed and click Save & Import.
3. Now that you have imported the Bill that came in from the Billing Partner, we will walk through editing the payment you made on the manually entered version of the bill. Navigate to the Account Register where you made the manually entered bill payment and open the transaction by clicking on it.
4. Click on the line item, next to the Description field to expand the Bill* Box.
5. Click the drop down arrow and select the Bill that you imported from the Billing Partner and click Save.
6. Now you will navigate back to the Bills Section, find the desired contact and expand the list to view the Bills.
7. You will now see the manually entered Bill has a new status. In this case you will want to open this Bill and delete it. Click the arrow to the right hand side and click Edit Bill.
8. Click Delete.
Another option would be archiving the duplicate Bill from the Billing Partner and leaving your manually entered bill/ payment as is. If this is a better option for you follow the steps below.
1. Navigate to the Import Queue found underneath Accounting and click on the arrow found to the right of the desired Bill.
2. Click on Archive found at the bottom left side of the page.
3. Confirm by clicking Yes that you want to Archive this Bill and remove it from your accounting records.
If the manually entered Bill has not had a payment applied against it, you can choose to delete it and use the Imported Bill instead.
1. Navigate to the Bills Section, find the desired contact and expand the list to view the Bills.
2. Locate the manually entered Bill. Click the arrow to the right hand side and click Edit Bill.
3. Locate the Delete button found at the bottom left hand side and click Delete. You will now only have one entry of this Bill from the import queue.
