Overview
It is common to track inputs that you have paid for or contracted, but not yet taken delivery of. This article will go over the process of how to enter these prepaid inputs in Traction Enterprise.
Requirements
- Inputs you want to prepay for setup in Setup>Inputs.
- Prepaid Inputs Input Storage Location. In order to set this up:
- Navigate to Setup>Inventory Locations
- Click the Farm Location where you would like to store the Prepaid Inputs
- In the details box on the right, select Edit under Input Storage.
- Click Add and create a new Input Storage Location.
- In the name, indicate that it is used for tracking prepaid inputs (i.e. Prepaid Inputs - Indiana Farms)
Process
To keep track of Inputs you've paid for, but not yet taken delivery of:
- Navigate to Inputs>Inventory>Transfers.
- Click Add and select Delivery.
- Enter information in the Delivery fields just as you would for a normal delivery, except choose your new Prepaid Inputs storage site when filling out the To field.
- Include a Note indicating this record is for inputs that have not been delivered.
To view your Prepaid Input Balances:
- Navigate to Inputs>Inventory>Balances.
- Click the Location tab.
- If you want to see all the Inputs you have physically on hand at the Farm Inputs Storage location, do not include the Prepaid Inputs site in your filter.
- If you want to see a balance of just Inputs you paid for in advance, but have not received, filter the Storage field to just the Prepaid Inputs site (shown below).
Taking Possession of Prepaid Inputs
When your Prepaid Inputs begin arriving at the farm, make sure that you use Traction Enterprise to keep track of your new balances.
When you receive a physical delivery of Prepaid Inputs:
- Navigate to Inputs>Inventory>Transfers.
- Click Add and select Transfer.
- Enter information in the Transfer fields and indicate the movement of the delivered, Prepaid Input from your original Prepaid Inputs storage site to your actual, physical, on-farm input storage site.
- Use the Notes section to capture information such as Invoice Number or BoL.
