How can I spot possible errors in my data?

Overview: 

Mistakes happen. Now when they do, you're able to find and rectify mis-keyed entries quickly, without having to visit multiple pages.  Tasks that are substantially off from planned, total amounts are surfaced in the top navigation bar, and editable from the Dashboard - allowing you to easily spot-check and edit your records. 

Requirements:

Records are flagged via the Dashboard when actual values are more than +/- 90% off of their planned amount. You can update the value on a record by editing the Rate, Area, or Total value; or you can flag the disparity between planned and actual as correct. 

  • Because this feature is accessible via the Dashboard, you'll need to have financial privileges enabled in order to utilize. 

Process:

On the top navigation bar, you'll see tasks to review by the presence of an orange circle next to the Dashboard menu item. The quantity within indicates the number of tasks that have records that have been identified. To begin reconciling, just to go to the Dashboard and click on the "Needs review" button.

Clicking "Needs review" displays the task details, followed by the record details. You can click on "View task details" or "View note" for more information about the task.

The record details shows the inputs used for any input that is +/- 90% off of planned, including the Planned Rate, and editable values for actual Rate, Area, and Total.

  • Note - you can only edit inputs that triggered the notification. To edit other parts of the record you must go to the record editor and manually edit records or to the Field Operations review page for machine data.

 

Calculation:

Tasks will be flagged if the percent off is +/- 90% off per the following calculation:

Percent off = (increase or decrease / planned quantity) * 100

Where increase or decrease = actual quantity - planned quantity. In other "words" ((actual_quantity - planned_quantity) / planned_quantity) * 100.

 

Save and Next: Clicking this button saves any changes that you made and takes you to the next task to review. If you have not made any changes, clicking this button saves the record with the original values and the notification will no longer appear again.

 

Review Later: Clicking this button will skip the current record and will take you to the next task to review.  The next time you return to the Dashboard to spot-check for errors, the notification for any skipped records will appear again.

  • Note - if you click Review Later after making changes to any editable fields, these changes will not be saved.

 

 

Tips for success:

  • Tasks with planned inputs that do not match the actual inputs will not trigger a Find and Fix notification (ex. planned input = Roundup, actual input = Princep)
  • Tasks with records that have inputs shared between (single & mix) or (mix & mix) will not trigger a Find and Fix notification.
  • Tasks with 0 as a planned value or 0 as an actual value will not trigger a notification.
  • After spot-checking for errors and closing the window, there is no way to go back to re-review the tasks that you just reviewed.
  • Clicking the "Back" button in the bottom left corner allows you to see the tasks you just reviewed, but keep in mind making a change to an editable value and clicking "Back", "Review Later", or otherwise closing the window will not save any changes you've made.
