Overview:
The Crop Transfers page is your starting point for tracking a variety of basic transfer data, including loads that are coming off of a field during harvest, loads being hauled to a customer, inbound deliveries, and adjustments to your crop inventory.
Requirements:
- Contact Customer Support to add all necessary crops in your account.
- Draw or import all necessary field boundaries.
- Create Crop Plans containing Harvest Tasks.
- Assign those plans to your fields.
- Add equipment to your account.
- Setup crop storage at each needed Inventory Locations.
Answer:
To better understand Crop Transfers, it's important to be familiar with the following terms:
- Transfers: Records that track the physical or book movement of material (crop or inputs).
- Balances: The sum of physical transfers or ownership transfers (in addition to any adjustments made).
- Loads: A way to group Transfers that were physically moved together. For instance, when you "Split" a Harvest Load between two source fields, two Transfers with the same Load ID are created.
Enter/Verify Crop Inventory Activity
There are 3 types of Crop Transfers you can track
- Harvest Load - Crop that you have harvested (Origin is a Harvest Task).
- Hauling Load - Crop that you are moving within storage or to a customer
- Third Party Inbound Delivery - Crop that you take into storage but did not produce
If you have Truck Scale Tickets or Settlement Sheets for deliveries that were not entered by your Truck Operators via a work order in the mobile app, you can enter these to track your yield and hauling activity on the Crops>Inventory>Transfers page.
- Click the "Add" button toward the top right corner of the page to begin adding loads.
- You will first be asked to enter the Production Cycle for the harvested crop as well as which Harvest Product the load contains.
- Then, depending on the type of load your entering (Harvest, Hauling, or Inbound Delivery), you'll be presented with a popup form in which you should enter the following information:
- "Harvest Equipment Load" - select where the load is coming from, where it's going, the transfer date, the associated field boundary, the transfer and final quantity, among other information.
- "Hauling Inventory Load" - select where the load is coming from, where it's going, the transfer date, the transfer and final quantity, among other information.
- "Third Party Inbound Inventory Load" - select where the load is going, the entity this load is associated with, transfer date, transfer and final quantities.
- You can then enter the relevant information from your truck scale ticket, including a Contract and any Quality Metrics.
- Note: It is not possible to associate contracts with "Third Party Inbound Inventory Loads".
- As you enter additional loads, data in your Crop Transfers page will auto-populate.
Tips:
- Use the "Split" button to denote that a given load contained crop from two Fields/Origins. The resulting Transfers will share a Load ID, allowing you to group them later.
- Use "Save & Create New" to enter several tickets, as this will auto-populate several key fields, to save you time.
Note: As you add or edit Harvest Loads, Traction Enterprise is looking up your Land Agreements to allocate crop to each relevant Entity on the Crops>Inventory>Ownership Balances page. From the Transfers tab of this page, you can also move Crop between Entities, using the "Add" button to record an Ownership Transfer or Ownership Adjustment.
Run Harvest/Delivery Reports
The Crop Transfers page provides the flexibility for you to choose which data you want displayed.
- Simply click on the "Columns" drop down menu toward the upper right hand corner of the page
- Now check the boxes next to each data item you want displayed, and uncheck those you don't want to see
In addition, the data displayed can be sorted and filtered based on the contents of any column (i.e. if you want to find all the deliveries that went to a particular inventory location).
- Just click on the blue title at the top of any column to sort the data based on that column's data
- Click it again to sort in the reverse order
- Use the search field at the top of relevant columns to filter for data related to a specific key word, such as a particular location
